Privacy at Cherry Tree
When you contact us or ask us to care for your pet, you trust us with information that matters to you. This notice explains how Cherry Tree Pet Crematorium Ltd uses that information and how you can contact us about it.
We are responsible for the personal information we hold for our own services. You can reach us at mail@petcrem.com, on 01233 850929, or by writing to Cherry Tree Pet Crematorium, High Halden, Kent, TN26 3HJ.
Information We Use
We use the contact details you provide, information about your pet, your wishes and arrangements, relevant correspondence, and service and payment records. Your vet may provide information needed to arrange your pet’s care. Please only include personal information that is relevant to your enquiry.
If you submit a memorial or testimonial, we receive your name, contact details, words and any photograph you choose to include. Website services may also collect technical information such as your IP address, device and browser information, pages visited and interactions with the site.
Why We Use It
We use information to answer enquiries, make arrangements, provide the services you request, keep appropriate service and accounting records, and handle questions or complaints. The lawful basis is taking steps at your request before a contract or performing our contract with you, meeting a legal obligation, or our legitimate interests in running and protecting the business and dealing with disputes. Where we rely on legitimate interests, we must consider your rights and reasonable expectations.
We rely on your consent where we ask permission to publish a contribution or use optional tracking. You can withdraw that consent without affecting the lawfulness of its earlier use. We do not sell your personal information.
Who We Share Information With
When you ask us to help arrange veterinary care, we share the details needed with the veterinary practice you choose or ask us to contact. Our veterinary enquiry form asks for permission to pass your details to the vets we work alongside. Independent veterinary practices are responsible for their own clinical records and privacy arrangements.
Our website, email, payment and business administration providers may process information to support our services. We may also share relevant information with professional advisers, insurers, regulators or public authorities where necessary for a legal obligation or a complaint or claim. We limit sharing to what is needed for the purpose.
Website Services and Cookies
Our website uses essential functions, forms and security measures, alongside analytics and advertising services. These include Google Analytics, Google Ads and Google Tag Manager, Google reCAPTCHA for spam protection, and services associated with WordPress/WooCommerce and Mailchimp. These providers may receive technical information about visits and interactions. Google’s enhanced-conversion functionality can use contact information supplied in a form to measure advertising results; it is part of our tracking review.
You can use the website’s cookie controls to choose optional categories and change your choice later. Please see our Cookie Policy for further information. We are checking the older tracking integrations against these controls; the review is not yet complete. You are always welcome to telephone or email us if you prefer.
Following a WhatsApp, Facebook or other external link takes you to a service with its own privacy arrangements. Some service providers process information outside the UK. Where international transfers require safeguards, the applicable adequacy arrangements or contractual safeguards must be in place. Please contact us if you would like details relating to your information.
Memorials and Testimonials
Our submission forms ask for permission to publish your name, words and any photograph you provide on the Cherry Tree website. Your email address is not published. Please only submit photographs and words you have permission to share, and avoid including another person’s private details.
Sharing on Cherry Tree’s Facebook page is a separate, optional choice. Selecting No, or leaving that choice blank, does not affect your website submission. We will only use a new submission on Facebook when you select Yes. Facebook is public and other people may copy or share a post.
You can withdraw publication permission by emailing mail@petcrem.com or calling 01233 850929. We can remove content from the website and Facebook posts we control, although we may not be able to remove copies shared by others.
How Long We Keep Information
We have adopted a retention schedule so that personal information is reviewed and kept only for as long as it is needed. General enquiries that do not become a booking are normally kept for 12 months after our last meaningful contact. Veterinary referral enquiry copies follow the same period, unless they form part of a booked service.
Cremation instructions, authorisations, traceability and return records are normally kept for 6 years after completion, then reviewed for secure deletion or anonymisation. Accounting records are kept for at least 6 years from the end of the company financial year they relate to. Animal by-product records are kept for the applicable statutory minimum; where they also form part of your service record, the longer service-record period applies.
Memorials and testimonials are intended to be lasting tributes. We keep published contributions and their permission records while publication remains wanted, subject to review and your right to withdraw permission. Unpublished or declined submissions are normally kept for 6 months after the decision or last contact.
Records may need to be kept longer for an active enquiry, complaint, claim, legal obligation or insurer or site-approval requirement. We are introducing this schedule across existing records, some of which have been held long term; it does not mean that all older records have already been deleted. Insurer and APHA conditions will be checked before disposal. Backup copies expire through the applicable backup arrangements.
You are welcome to ask what information we still hold about you or request its deletion. We will explain if a lawful reason requires us to retain particular records.
Your Rights
Subject to the conditions and exceptions in UK data protection law, you can ask to access or correct your personal information, request deletion or restriction, object to processing based on legitimate interests, and request a portable copy where that right applies. You can withdraw consent where we rely on it and object to direct marketing at any time.
Please contact us using the details above. We may need information to confirm your identity and understand your request. We will explain any lawful reason that prevents us from fulfilling it. You can also complain to the Information Commissioner’s Office, although you are welcome to speak to us first so we can try to help.
